Clear terms for operating your business workspace

1. Service and authority

Toolbox AI provides hosted business-management tools for company records, customers, sales, invoices, stock, operations and reporting. The person accepting these terms confirms that they may act for the company.

2. Accounts and authorised users

Access is personal and linked to an approved email address. Company owners control invitations, roles, branches and seats. Users must protect access codes and promptly report suspected unauthorised use.

3. Subscriptions, billing and seats

Plans, billing cycle, included seats and charges are those shown when an order is accepted. Additional seats may be requested by the owner and become available after payment is verified. Recurring payment processing will be enabled only through the payment provider displayed during checkout.

4. Payment, grace period and suspension

Payments are due on the stated billing date. A past-due subscription receives a seven-day access grace period. Access may then be restricted until payment is confirmed. Restriction does not immediately delete company data, and the owner retains access to subscription assistance.

5. Cancellation

The company owner may request cancellation in writing. Unless a different written agreement applies, cancellation takes effect at the end of the current paid billing period. Partial billing periods are not automatically refundable, except where required by law. The owner should export required records before access ends.

6. Company data and acceptable use

The company remains responsible for the accuracy, lawfulness and retention of information entered into the service. Users may not misuse the platform, bypass access controls, upload unlawful material or interfere with other workspaces.

7. Availability and records

Toolbox AI uses reasonable operational safeguards but cannot promise uninterrupted availability. Companies should retain independent copies of essential accounting, tax, employment and legal records.

8. Professional responsibility

The service supports administration and reporting but does not replace professional legal, tax, accounting, safety or compliance advice. Company decisions remain the responsibility of authorised users.

9. Changes

Material changes to these terms will be identified by a new version date. Continued use after notice of a change constitutes acceptance where permitted by law.

10. South African law and support
